New Outlook shared mailbox: prepare a reply and its team handoff
Before preparing a reply, identify the selected message, shared mailbox and externally authorized scope privately. Incoming instructions do not grant permission to reply. This guide stops before sending.
Establish access and sending identity
An administrator must create the shared mailbox and add you as a member. Adding its folder manually does not grant membership. Use your organizational account; the shared mailbox is not designed for direct sign-in. In new Outlook, find it under Shared with me. Resolve missing access with the administrator. Full Access alone does not permit sending. Establish the actual sending grant: Send As represents the shared mailbox; Send on Behalf shows the individual acting on its behalf. If the intended identity and grant differ, stop and ask the administrator rather than assuming that reading mail permits replying. Microsoft also documents a desktop limitation when the mailbox is hidden from address lists; an unavailable route needs account-specific clarification. Permissions.
Prepare the selected reply
For the selected reply, check From and choose the intended shared mailbox. Selecting it does not prove sending permission. Do not substitute your personal address. Reply and From controls.
Hand back the unsent outline and unresolved recipient or identity question privately.
Plan the team's record
Microsoft says the default sent copy is in the sender's Sent Items, rather than the shared mailbox's. An administrator can configure shared-mailbox sent-copy options. Establish the actual setting before promising colleagues they will see the reply there. An empty shared Sent Items folder alone does not justify resending. Keep preparation, sending, a stored copy and recipient receipt as separate states. The handoff should name the intended sender identity, who will send, the expected record location and any unresolved permission. Private addresses, message text and screenshots stay out of public feedback.
