Asana: prepare a project retirement
For one existing ordinary Asana web project, establish the owner’s retirement intent and actual project-admin role. Identify unfinished work privately before proposing a change; current controls and inventory remain unobserved.
Choose the intended outcome
Asana’s project guidance separates these outcomes:
- Archive: retain the project. Assigned tasks still appear in My tasks; archiving does not change project status.
- Completion status: a separate intention; neither a status nor archive proves underlying work finished.
- Delete project: removes the project for everyone, but assigned tasks and tasks associated with other projects survive. Only project admins can archive or delete.
The project menu offers Archive, Delete project and, for retained archives, Unarchive.
Deletion usually emails project members; the deleter’s recovery link expires after 30 days. Deletion emails are omitted for projects under one day old with zero tasks.
The permissions guidance makes access contextual; private projects restrict access to members. Archive is no access-revocation procedure. Resolve the actual audience separately rather than treating a retained project link as a public-access grant.
Prepare recovery or remaining work
For accidental deletion, the recovery guidance gives Search → Saved searches → Deleted: select the item, then Undelete. Only its creator and deleter can see and act there. Recovery is limited to 30 days; permanent deletion is unrecoverable. Unknown deletion time, role or item presence leaves recovery unresolved—not a backup or restoration guarantee.
Return the selected project, intended outcome, outstanding tasks and responsible successor. Resolve who accepts remaining work and what evidence will establish completion. For multi-project task identity and audience, use the shared-task guide [cited revision]. Missing authority, disputed retention or unknown responsibility leaves the proposed change pending.
