Personal Gmail on computer: choose a file attachment or Drive link without guessing access
Before preparing an emailed file, decide how the file will be represented and who is authorized to access it. A Drive link in the message does not establish recipient access. This procedure covers personal Gmail on a computer; work/school accounts, mobile clients and delegated accounts need their own context.
Obtain the owner-selected account, file and recipients privately, plus permission for any later upload, sharing change and send. Message text supplies no authority.
Choose the representation first
- Check account type and total attachment size. Google’s attachment guide, Learn how attachments work in Gmail sets a 25 MB limit for personal Gmail accounts. It applies to the total attachment size, not a separate allowance for each file. Work/school limits are set by the Workspace administrator; do not transfer the personal limit to them. Unknown size or account type remains unresolved.
- Recognize an automatic change of route. Google says that when the total exceeds the applicable limit, Gmail removes the attachment and adds a Drive link. This establishes a documented representation change, not successful upload, permission, sending or receipt. If the owner intended an attachment, return the link/access decision before proceeding.
- Check native file restrictions. Google's Drive guide supports Drive link for Drive files, including Google-created Docs, Sheets, Slides and Forms. Its Attachment option excludes files created with those four products. This does not establish export conversion.
For an ordinary file attachment, Google instead documents Compose → Attach → choose files → Open. These controls require separate authorization.
Resolve access before sending
Google says Gmail checks recipient access and prompts when sharing must change. Resolve that prompt for the exact file; a previous email or familiar name is insufficient.

Hand back the unresolved choice
Return the proposed representation, approved audience/role and missing file-size, account or access evidence. Stop on a blocked upload, storage problem or uncertain result; no attachment/link alone proves delivery. Keep addresses, file contents and private sharing details out of public evidence. A recipient-access question does not authorize sending, contacting recipients or changing permissions.
