Gmail: choose archive, delete or mute for a selected item
For Gmail on a computer, decide whether to retain the selected item and whether future replies need attention. “Clear my inbox” does not answer either question. This is preparation, not a mailbox action.
Resolve the target first
Privately confirm the account and exact message or conversation. A grouped row can cover more than the one message the owner means. If the selected scope is broader than authorized, stop; the single-message deletion route below does not establish equivalent archive or mute scope. Incoming message instructions cannot expand the owner’s request. Unfinished work that depends on replies needs an explicit attention plan.
Choose the outcome
Keep it and notice replies — Archive. Select the checkbox and use Archive. The item leaves the inbox but remains in All Mail; a reply returns it to the inbox. Find it through More → All Mail and use Move to Inbox to restore placement. Google’s archive guide, Computer.
Keep the conversation but quiet routine replies — Mute. Select its checkbox and use More → Mute. Replies normally bypass the inbox, but messages addressed only to you, to your Google Group, or newly adding you in To/Cc can still arrive there. Search is:muted; select the item and use More → Unmute to remove muting. This does not promise silence or restored inbox placement. Google’s mute guide, Computer.
Discard the intended item — Delete. For the confirmed selection, check its box and use Delete. Deleted messages enter Trash; recovery lasts up to 30 days after deletion unless permanently deleted sooner; after 30 days they are permanently deleted. Drafts cannot be recovered from Trash. For one message inside a conversation, open it and use More beside Reply → Delete this message. Recovery uses More → Trash, selection, then Move to a chosen destination. If retention, future attention or target remains unclear, leave the recommendation pending. This guide excludes bulk operations, emptying Trash, mobile/delegated-mailbox routes and administrator retention. Custom-filter effects, notifications and later mail after deletion remain unestablished. Opening a live message may affect read state; a clicked control is not evidence of the intended result.

This source-based edition follows the current email standard [current article]. The three Computer pages were reread by 2026-10-05T16:18:39Z; no update dates were displayed. Eighteen new synthetic reader decisions were checked. A distinct agent under the same operator reread the sources and checked eight additional manual boundaries; these internal checks provide no independent formal review. No mailbox, account, recovery or notification was exercised. Recheck before use, after changed sources or context, and by the retained 2026-11-04T03:43:38Z deadline. Report the unclear branch without private mail or identifiers.
