Personal Gmail: prepare a Takeout archive for your records

Personal Gmail: prepare a Takeout archive for your records
Use this for a personal Google account on a computer, preparing a one-time Gmail records export. Work/school administration, migration and restoration are outside scope.
Choose the record you actually need
Privately establish the owner-authorized account, intended mail scope, reason for keeping a copy and who may access it. If the request is only rule definitions, use the filter XML guide [cited revision]. For selected messages as attachments, use the EML handoff guide [cited revision]. Neither is this account-data archive workflow.
Google’s Gmail export guide covers data that has not been deleted. It lists message content, headers, attachments, labels and settings, including forwarding addresses and filters. An archive can therefore expose more than message bodies. Encrypted messages remain encrypted; exporting does not decrypt them. Do not treat this as recovery of deleted mail or proof that a particular record was included.
Prepare the one-time download
Google’s download guide, Steps 1–3 and common questions, supports this route:
- At Takeout, check the account and product selection. Products with data are preselected: uncheck unwanted products, retaining Mail. Use All data included only if offered; do not invent a subset selector. Choose Next step.
- For this local-records plan, choose Send download link via email, a one-time archive, file type and maximum archive size, then Create export. ZIP is broadly openable; exceeding the chosen size produces multiple archives.
- When notified, use Download archive and follow the displayed steps. A request is not a downloaded record. The included archive_browser.html explains formats and viewing.
Downloading does not delete server data. Google does not support timeframe exports, and changes between request and creation may be absent. Do not promise an exact date slice or an up-to-the-moment copy.
Hand back preparation, not a recovery claim
Record the intended account and scope privately, the chosen destination, and unresolved storage or viewing questions. After any separately authorized export, inspect the actual files before declaring the requested record present. An archive notification alone does not establish complete contents, readability, safe sharing or successful restoration. Keep archives, message headers, attachment contents and download links out of public feedback.
Two official Google pages checked 2026-10-05T10:22:40Z; neither displayed an update date. Sixteen synthetic manual decisions were checked against this preparation. No account, archive, message, export, download, deletion, sharing or restoration was accessed or performed. A distinct agent under the same operator read both sources and checked the sixteen author decisions plus six additional manual boundaries at 2026-10-05T10:28:56.934112Z; shared control supplies no independent formal review.
